Eventz Genie Yogi Edutransit 17th Pravasi Bhartiya Divas

Eventz Genie in collaboration with Yogi Edutransit recently provided ground transport for attendees and delegates from over 60 countries at the 17the edition of Pravasi Bhartiya Divas conference held in Indore, Madhya Pradesh from January 8 to 10, 2023.

The team was awarded with a contract for the event by Madhya Pradesh State Tourism Corporation (MPSTC).

Pravasi Bharatiya Divas (PBD) Convention is the flagship event of the Government of India that provides an important platform to engage and connect with overseas Indians and enable the diaspora to interact with each other. The event was inaugurated by Prime Minister, Narendra Modi and witnessed registration by over 3,500 diaspora members from nearly 70 different countries.

As the official Ground Transport Partner for the event, the team procured 450+ vehicles for deployment for this event for all state delegates, national delegates and state guests. While the event dates were January 8 to 10, the scope of work for the team was from January 4 to 12 as some delegates and the advanced recce team started coming in from 4 January.

They also deployed 26 large buses and 10 smaller coaches - Volvo, Benz, Scania, Coasters for free shuttle services from 37 hotels to the convention venue on a daily basis. In addition, 10 volvo buses were deployed for excursions to nearby places of interest (including Ujjain, Mandu, Omkaleshwar)

Challenges included:

Procurement of vehicles from outside the state

Speaking about the challenges faced while managing this event, Vijay Cavale, CEO, Eventz Genie said, There were three key challenges one the type of vehicles that were required. We had provided 25 super premium vehicles which is Mercedes, Audi, BMW, and about 45 premium vehicles which is hybrid Camry's. The procurement sheet for protocols PM's cavalcade, Chief Ministers cavalcade, the Heads of State cavalcade also had requirement for vehicles like Toyota coasters, Toyota HiAce and the bus shuttles and outstation services required, Volvo Scania, Mercedes Benz buses.

We realized early on that 60% of these vehicles would need to be procured outside of the state which meant that we needed to start our planning and procurement process very early. The challenge would also be that while we would procure the vehicles easily, the drivers would be typically the drivers from outside Madhya Pradesh, outside Indore who don't know the routes. So, we invested heavily in our driver training programme, we physically trained 150 drivers on site and the rest of the drivers joined through Zoom links where in the drivers were taken through the routes, we actually made them sit in the buses and drove them around the city on the VIP route from the airport to the key hotels so that was one challenge.

Second was training of driver so that at least in a day or two they can learn the key routes. Then high-end cars were equipped with navigational equipment’s with voice facility so the driver could just say location and hopefully the map would guide the car to that location.

Safety & Security Equipped Vehicle

Third biggest challenge was safety, security and tracking, wherein our teams worked day and night to install GPRS tracking devices in over 400 of the vehicles so that at any point of time control room would know where these vehicles were travelling and in case of any break down or emergency we could send in a reserve vehicle.

For this event, Ministry of External Affairs deployed 40+ of its own people who were flown in for them from Delhi. MP tourism had 25 of its people on ground and Yogi Edutransit and Eventz Genie had close to 50 volunteers and helpdesk at all the 37 hotels and at the airport as well as the venue so this is how we managed the event.

The challenge for any PM event or an event of this significance magnitude held in a smaller city like Indore where the roads are narrow, due to this the access is restricted. We also had to undertake a lot of coordination meeting with the collector, the District magistrate, the RTO, the DCP traffic so that the stickering, the parking, the VIP movement could all be well-planned.

Eventz Genie also served as the ground transport supplier for the VVIP's at the Global Investor Summit 2023 in Indore.
