Rotary International District 3140 organizes DisCon 2013

Rotary District 3140, which spends more than 50 crores towards community service, organized the DisCon 2013 in February. Swastika Entertainment Pvt. Ltd. was appointed to execute the two-day conclave at Aamby Valley's golf course.


This two-day event was attended by more than 1200 Rotarians consisting of doctors, engineers, chartered accountants, industrialists, company executives, entrepreneurs, professionals, celebrities, business leaders, philanthropists, dedicated professionals and artists from the film industry.


The tag line of the event was 'Conclave of Excellence.' The arrangements and other detailing were done keeping in mind the excellence theme. Other than Rotarians from different walks of life, this conference was also attended by eminent personalities of the society and they were felicitated for their excellent work in their respective fields.


The conference started with the welcoming of all delegates - a special welcome team consisting of traditional dancers along with traditional instruments was organized. A presidential march was done by the organizing committee. Various awards were given out. After all these felicitations and discussions, an entertainment programme was organized in the evening where a DJ, few rock bands and singers also performed.


To organize this event a huge German hangar of size 200x80 feet which is used mainly for international trade shows and exhibitions was erected for this event. The entire premise was given a thematic decor which suited best with the conference setup and entertainment program. A 60x40 feet stage was created in two layers to suit both - the conference and entertainment program. Also a part of the setup was the box trussing with lighting, LED screens, display walls, venue decor, sound line array, etc.


The main sponsor was Rustomjee Builders whereas the other sponsors included Toyota Kirloskar and BIG RTL Thrill. 3rd Rock Entertainment was the outdoor partner. Toyota displayed the Toyota Camry near the passage area and a luxury drive campaign was done for them. Along with the car, Toyota also provided chauffeur-driven Camrys to selected few delegates from Mumbai to Aamby Valley and back. Five Camrys were also provided by the company for interested delegates who wanted a test drive. Rustomjee's stall was created to showcase their existing and upcoming projects. Sponsors were also given logo visibility on all branding - outdoor, enroute branding from Mumbai to Lonavala, Aamby Valley branding, event branding, invitation card, brochures, SMS alerts, etc. AVs were also played to popularise the partner's deliverables.


Speaking about the execution, Amit Verma, Director, Swastika Entertainment said: "Coordination and logistical arrangement of 1300 people was a challenging job. Allotment of rooms, welcoming with a personal touch, logistical support were done well in advance to avoid any delay and confusion. 10 separate reception desks were created to avoid crowding and waitlisting at the reception. The specialized team of Rotary and Swastika was deputed to maintain the checklist, manage handovers, arrange for the golf cart to take them to their rooms. All this was possible with the combined effort of the Aamby Valley ground team, Rotary team and Swastika Entertainment."


Swastika was associated with this event through market reference since it had done events and launches for Rotary clubs and various other NGOs in the markets. Rotary is an international organization. Rotary International District 3140, comprises more than 7200 Rotarians in 124 clubs from Mumbai.
